Administrative & Communications Assistant
Swiss United Church of Christ, New Glarus, Wisconsin
Responsible for supporting day-to-day operations and communication activities of Swiss United Church of Christ.
Reports to/ Evaluated By:
Part-Time Hourly Non-Exempt Staff
Desired Skills & Qualifications:
a. Previous work experience in an office environment.
b. Proficient computer skills including MS Word, Excel, and Publisher.
c. Familiarity with membership database software preferred but willingness to learn is required.
d. Excellent proofreading skills and attention to detail.
e. Ability to post and make changes to Facebook and website (SquareSpace).
f. Comfort in maintaining office equipment including phone system, copier, computers, and office environment, knowing what can be fixed in-house and when to call for service.
g. Excellent organizational and time management skills.
h. Effective verbal, written and editorial communication skills (proficient in English).
i. Willingness to recruit volunteers by email and phone.
j. Ability to work independently as well as cooperatively with a wide variety of people.
k. Ability to maintain pleasant and professional demeanor with congregants and other staff at all times.
l. Helpful to have some skills in event planning.
m. Possess a caring attitude, excellent people skills, high integrity, and exercise strict discretion and confidentiality.
n. Comfortable being alone in the building.
o. Access to a vehicle to run short errands in and around New Glarus.
Anticipated Time Commitment:
This is a part-time, hourly, non-exempt position. While additional hours may be required based upon church season/events, it is normally scheduled 27 hours per week. The Administrative Assistant will work with the Pastor to establish a standard work schedule to ensure that the church office has sufficient coverage between Monday and Friday.

Ability to handle multiple tasks, problem solve, deal professionally with a wide variety of people and situations, and handle short deadlines and emergency situations.
Specific Job Responsibilities:
a) Desktop publish, proof, and print all worship bulletins including order of worship provided by pastor and weekly announcements. Oversee assembly of bulletins by volunteers. Prepare bulletins for baptisms, funerals, weddings, and other special events.
b) Write announcements and desktop publish, proof, and print monthly newsletter including article(s) provided by pastor. Oversee assembly of newsletter volunteers.
c) Prepare and post flyers to promote church activities, update church sign, and submit news items to local news sources.
d) Prepare special mailings.
e) Provide regular administrative support to Pastor, and occasional support to other staff, church leaders, and church committees.
f) Greet office visitors, answer phones, and respond to e-mail.
g) Schedule church volunteers (ushers, greeters, liturgists, communion preparers and servers, and fellowship hosts as well as volunteers for bulletin, newsletter, and special mailing prep).
h) Coordinate calendar of church events to prevent overlap of property use (ex: weddings, meetings, committee events, etc).
i) Manage/maintain office space and supplies. Manage/maintain office equipment including copier, paper folder, phones, computers, and obtain service if needed.
j) Maintain membership records - both in written record books and in REALM database.
k) Revise and update procedure manual to reflect on-going methods of organizing and completing tasks.
l) Organize online and paper files in coherent, accessible manner.
m) Attend regular staff meetings with pastor and other office staff.
n) Maintain mailing lists for various groups in the congregation; ability to use mail merge.
o) Prepare annual reports, directories and other materials as needed.
p) Pick up mail at post office daily. Sort and distribute mail within the office. Prepare and mail correspondence, including visitor letters when applicable.
q) Inform prayer chain of requests that are received in the church office.
r) Serve as point person to folks interested in being married at Swiss Church.
s) Enter info from Time and Talent forms and prepare reports for committees and pastor.
t) Collect registration forms and funds for ticket sales.
General Work Environment and Physical Job Requirements:
The work involved in the position occurs primarily inside the Church facilities (18 5th Avenue in New Glarus, near downtown shops and restaurants) and is generally sedentary in nature. The Administrative Assistant works at a desk in an open room with close access to the copier, file cabinets, and supply room. The office is air-conditioned and has windows. A kitchen and restroom are just down the hall. While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. Specific vision abilities required by this job include close vision, and ability to adjust focus. The employee may be regularly required to withstand prolonged repetitive motion involving fingers and wrists (computer related) and must have the ability to view the computer screen for long periods of time. The Administrative Assistant must be able to comfortably carry small to medium sized boxes (up to 25lbs) and maneuver within the facility which includes stairwells and elevators. Background Check Required:
As this position will be responsible for handling church funds, a fiduciary background check is required.
• Salary: To be determined, based on experience.
• Vacation: 42 hours per year
• Sick Leave: Accumulated at rate of 1.75 hours per pay period; 3.5 hours per month.
• Holidays: Seven holidays (New Years Day, MLK Day, Memorial Day, 4th of July, Labor Day, Thanksgiving Day, and Christmas Day) and one floating personal day each year.
• Health, Life, and Disability Insurance: There is no health, life, or disability insurance provided for part-time employees.
• Retirement: There is no retirement benefit for this position.
