Elite Hail Systems is hiring a Front Desk Coordinator / Office Assistant for our auto hail repair location in Monona.
We are looking for someone friendly, organized, dependable, and professional who can help keep the front office running smoothly. This person will work with customers, help with vehicle drop-off and pickup, coordinate rental cars, prepare paperwork, support the sales team, enter customer information into our system, and help keep the office clean and organized.
This is a good fit for someone who enjoys customer service, can stay organized during busy periods, and is comfortable helping with a variety of office tasks.
Responsibilities
Greet customers and guide them through vehicle drop-off and pickup
Explain next steps clearly and keep customers updated as needed
Conduct pickup inspections with customers
Complete customer satisfaction paperwork
Schedule Enterprise rental cars for customers during repairs
Handle rental return paperwork when customers pick up their vehicles
Drive rental vehicles to and from Enterprise as needed
Assemble and maintain customer paperwork packets
Prepare sales packets for the sales team
Assist salespeople with customer paperwork and file organization
Coordinate business card orders for new sales reps
Make copies and handle basic office tasks
Keep physical and digital files organized
Perform data entry during downtime
Enter former customer lists into the company system/CRM
Make sure customer records are accurate, including customer location/town
Coordinate files and communication with our Denver office as needed
Keep the front office clean, tidy, and presentable
Requirements
Friendly and professional with customers
Strong customer service and communication skills
Organized, dependable, and detail-oriented
Comfortable with paperwork, filing, email, and basic computer work
Able to enter information accurately into a CRM/data-entry system
Able to stay organized in a busy, fast-paced environment
Valid driver’s license and clean driving record required
Must be comfortable driving rental vehicles for company business as needed
Bilingual English/Spanish is preferred but not required
About the Position
This position is an important part of our customer experience. You will often be the first person customers speak with when they come into the shop, so we need someone who can be kind, clear, calm, and professional.
