Job Title Administrative Associate
Reports to Housing Manager

This position is responsible for administrative support in the areas of general administration, housing, and community center operations.

Duties and Responsibilities

General Administrative Support
• Provide administrative support to the Executive Director
• Draft flyers, letters and emails
• Faxing and filing
• Maintain employee and board phone list and schedule
• Prepare agendas and materials for meetings, track attendance, distribute materials, schedule and set up the space, secure food for the meeting if needed, and track follow-up items from the meeting
• Make bank deposits and pick up printed materials from printer
• Create and distribute monthly Board packet
• Development and maintenance of a shared resident contact list
• Update program flyers for residents
• Assist with center facility use and participant tracking
• Coordinate a monthly resident newsletter
• Order supplies for center cleaning
• Oversee IT support in coordination with Dane Net
• Develop administrative staff by providing information, educational opportunities and experiential growth opportunities
• Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Develop and update administrative systems to make them more efficient
• Assist with special events

Housing Support
• Prepare files for annual HUD audit
• Data entry of wait list from paper applications
• Entering work orders into a tracking system
• Creation of a resident parking process
• Resident paperwork delivery and follow-up
• Assist with maintenance supply inventory, ordering and upkeep
• Assist with development of housing inspection forms and resident correspondence

• Strong writing skills, with emphasis on quick, succinct, well-written, and grammatically correct
• Establish, maintain, and foster positive and harmonious working relationships with others
• A demonstrated ability to work independently, meet deadlines, organize time, set priorities and take initiative
• Excellent interpersonal skills
• Ability to work in a fast-paced and diverse community-based environment
• Administrative experience
• Bachelor’s degree preferred
• Ability to take initiative, think quickly and solve problems
• Bilingual preferred
• Commitment to social justice and racial equity

• Excellent skills with Microsoft Word Office, Excel, PowerPoint
• Ability to maintain confidentiality in working with tenants and information
• Extremely organized and superb attention to detail
• Possession of valid driver’s license
• A vehicle you can use while here
